Privacy Policy

Flat Strap (the app, we) is operated by Flat Strap - Performance Horse and Event Management, based in Sarina, Queensland, Australia. This policy explains what information the app collects and how it is used. We handle personal information in accordance with the Australian Privacy Principles under the Privacy Act 1988 (Cth).

What we collect

• Account details: your name and email address when you create an account.
• Managed rider details: names and, where provided, dates of birth for child or other rider profiles managed through your account.
• Horse details you enter: names, breeding and identification details, registrations, care records, and Property Identification Codes (PICs) you choose to record.
• Event participation: nominations, draws, recorded run times, placings and prize money from events run through the app, and travel-from details collected at nomination for biosecurity movement records.
• Club records: if you run a club, the member register entries, event settings and finances you enter.
• Money records you enter: personal expense and earnings entries you add for your own tracking.

What we use it for

• Running events: nominations, draws, results and payouts.
• Your own records: run history, personal bests, earnings, horse care reminders and money tracking.
• Season points standings and event results, which are visible to other signed-in users (your name, horse names, times, placings and prize money - the same information read out at an event).
• Biosecurity movement records, available to the club running the event to meet Queensland biosecurity obligations.

What other users can see

Flat Strap is an event app, so some information is visible to other participants, just like a printed program or results board: your name and your horses' names in draws, results, standings and payout lists for events you enter. Your contact details, horse identification details (microchip, PIC), care records and personal money records are never visible to other riders.

Where it is stored

Data is stored securely with Supabase, our database provider, protected by row-level security so each user can only access what they are entitled to see. Payments, when available, may be processed by a payment provider; Flat Strap will never store your card details.

What we don't do

• We do not sell your personal information.
• We do not share it with third parties except service providers needed to operate Flat Strap, or where required by law.
• We do not use advertising trackers in the app.

Your choices

You can edit records and archive horses in the app. Archiving preserves official run and relationship history. You can request deletion of your Flat Strap account and associated personal data from the app or website.

Account deletion and data retention

After verifying a deletion request, we delete or de-identify sign-in credentials, contact details and private account data where it is not required as part of an official or legally retained record. We may retain official nominations, draws, results, payouts, season points, horse career history, closed rider-horse relationships, biosecurity movement records, club financial records, and records required for disputes, fraud prevention, taxation or other legal obligations. Access to retained records is limited and they are kept only for as long as necessary.
