Privacy Policy

Flat Strap (the app, we) is operated by Flat Strap - Performance Horse and Event Management, based in Sarina, Queensland, Australia. This policy explains what information the app collects and how it is used. We handle personal information in accordance with the Australian Privacy Principles under the Privacy Act 1988 (Cth).

What we collect

• Account details: your name and email address when you create an account.
• Managed rider details: names and, where provided, dates of birth for child or other rider profiles managed through your account.
• Horse details you enter: names, breeding and identification details, registrations, care records, and Property Identification Codes (PICs) you choose to record.
• Event participation: nominations, draws, recorded run times, placings and prize money from events run through the app, and travel-from details collected at nomination for biosecurity movement records.
• Club records: if you run a club, the member register entries, event settings and finances you enter.
• Money records you enter: personal expense and earnings entries you add for your own tracking.
• Membership and payment records: membership application details, postal address, date of birth, emergency and guardian contact details, waiver and media-consent choices, nomination amounts and any direct-deposit receipt image you choose to upload.
• Event chat: messages you post, and safety records such as reports, blocks, club mutes and hidden-message moderation actions.
• Notifications: notification preferences and app-installation identifiers or push-notification tokens needed to send notices to your device. Flat Strap does not use these identifiers for advertising.

What we use it for

• Running events: nominations, draws, results and payouts.
• Your own records: run history, personal bests, earnings, horse care reminders and money tracking.
• Season points standings and event results, which are visible to other signed-in users (your name, horse names, times, placings and prize money - the same information read out at an event).
• Biosecurity movement records, available to the club running the event to meet Queensland biosecurity obligations.
• Event communication and safety: showing event messages to eligible participants, delivering official club notices, enforcing chat rules and investigating reports.
• Sending the event, membership, draw and results notifications you choose to receive.

What other users can see

Flat Strap is an event app, so some information is visible to other participants, just like a printed program or results board: your name and your horses' names in draws, results, standings and payout lists for events you enter. If an event club enables chat, messages you post are visible to that club and signed-in accounts nominated for that event. Blocked ordinary messages and messages hidden by the club are filtered as described in the Event Chat Rules. Your contact details, horse identification details (microchip, PIC), care records and personal money records are never visible to other riders.

Where it is stored

Data is stored securely with Supabase, our database provider, protected by row-level security so each user can only access what they are entitled to see. Google Firebase Cloud Messaging processes app-installation and push-notification identifiers so Flat Strap can deliver notifications. Direct-deposit receipt images may be stored with the related nomination payment record. Flat Strap does not store card details.

What we don't do

• We do not sell your personal information.
• We do not share it with third parties except service providers needed to operate Flat Strap, or where required by law.
• We do not use advertising trackers in the app.

Your choices

You can change notification preferences, edit records and archive horses in the app. Archiving preserves official run and relationship history. You can request deletion of your Flat Strap account and associated personal data from the app or website.

Children and family riders

A Flat Strap login account must be created by a person aged 18 or older. A parent or guardian can add and manage riders under 18 within their adult account. Managed riders do not sign in or post independently; the adult account holder is responsible for nominations, chat activity and information entered for those riders.

Account deletion and data retention

After verifying a deletion request, we delete or de-identify sign-in credentials, contact details and private account data where it is not required as part of an official or legally retained record. We may retain official nominations, draws, results, payouts, season points, horse career history, closed rider-horse relationships, biosecurity movement records, club financial records, event chat and moderation records needed for safety or disputes, and records required for fraud prevention, taxation or other legal obligations. Access to retained records is limited and they are kept only for as long as necessary.
